• Result Notification: Mid-July, 2025 ==> By the end of July, 2025
• Early Registration: August 1, 2025, to August 31, 2025, 23:59 (JST)
• Regular Registration: September 1, 2025, to October 31, 2025, 23:59 (JST)
• Late Registration: November 1, 2025, to December 5, 2025, 23:59 (JST)
• Online Participation: August 1, 2025, to December 5, 2025, 23:59 (JST)
• Deadline for Visa Support: September 30, 2025, 23:59 (JST)
• Deadline for Banquet Tickets, Vegan/Halal Bento Lunchboxes, and Childcare: October 31, 2025, 23:59 (JST)

Registration Fees

If the number of registrations exceeds our capacity, we may need to close registration earlier than expected. We encourage you to register as early as possible to secure your spot.

^** Note: Accompanying person(s) can participate in the Welcome Reception and enter the Poster Session Room.

• Welcome Reception (December 8, 2025, 18:00 – 20:00): Free of Charge
• Banquet Ticket (December 10, 2025, 18:00 – 20:00)
  • Ages 12 and above: 10,000 JPY
  • Ages 4 to 11: 5,000 JPY
  • Ages 3 and under: Free of Charge
• Bento Lunchboxes for December 9 - 12, 2025 (Halal or Vegan only.): 2,000 JPY/box
• Childcare: Free of Charge

Financial Assistance

The request period for financial assistance has closed. Those who have been selected will be contacted directly by the SOC.

How to Create an Account, Register, and Make Payments

Method of Payment

Credit Card (VISA, MASTERCARD, AMEX, DINERS, and JCB) only.

Receipt and Participation Certificates

Receipts can be downloaded from the “Issue Receipt” menu once your payment is confirmed.

Participation certificates will become available through the 'Issue Certificates' menu after the conference.

Visa Support

If you require visa support, please indicate this by answering the relevant question in STEP 1: Create Individual Account. Please note that we can only begin preparing the necessary documents after the registration fee has been paid (STEP 3: Registration & Payment).

Visa requests and payment must be completed by September 30, 2025, 23:59 (JST). We will begin preparations in early October and contact you accordingly.

Excursion and Accommodation

Reservations and payments for excursions and hotel bookings can be made through JTB (Japan Travel Bureau Corp.) site. (URL to be announced at a later date)

Childcare Service

Complimentary childcare service will be offered during the meeting period. To request this service, please check the box when registering (Step 1: When creating an Individual Account). The application deadline is October 31. Further details will be provided to those who request the service.

Cancellation Policy

Cancellation requests must be submitted in writing via the contact form .

  • Cancellation from August 1 to August 31, 2025, 23:59 (JST): Full refund.
  • Cancellation from September 1 to September 30, 2025, 23:59 (JST): 50% refund.
  • Cancellation after October 1, 2025, 23:59 (JST): No refund.


• Banquet/Bento Lunchboxes
  • Cancellation from August 1 to October 31, 2025, 23:59 (JST): Full refund.
  • Cancellation after November 1, 2025, 23:59 (JST): No refund.
